Request Referral to Case

The new “Request Referral to Case” feature empowers users to request a referral to an existing case, helping to ensure that each case is managed under a single record. This approach significantly reduces the chances of duplicate cases being created, ensuring that case management stays efficient and accurate.

Benefits of the Feature #

  • Prevents Case Duplication: By enabling users to request referrals to existing cases, SimplifyPI ensures that only one case record exists for each incident, preventing unnecessary duplication.
  • Improves Case Management: The process ensures that case information is centralized, reducing confusion and the risk of errors.
  • Clear Communication: The feature provides easy-to-understand notifications for all involved offices, improving communication and response time.

How It Works #

Users who know that a case already exists in SimplifyPI can request a referral to that case through the following steps:

  1. Navigate to the “Cases” tab from the SimplifyPI menu.

2. Click on the “Create Case” button and select “Request Referral to Case”.

3. A pop-up window will appear, prompting you to fill in the following details:

  • First Name (Mandatory)
  • Last Name (Mandatory)
  • Date of Incident
  • Offices referred to the case (You can select up to 5 offices)

4. The selected offices will receive an email notification with the referral request. They will have two ways to respond:

  • Click the “Details” tab directly from the email, or
  • Go to the “Cases” tab in the SimplifyPI menu, scroll to the bottom of the page, and look for the “Referral Request” section.

5. Referral Status

  • If the request has been made by another office, it will show under “Waiting on Response”.
  • If the user has received a referral request, it will be listed under “Needs Response”.

6. The receiving office can either accept or reject the referral request.

  • If rejecting, the user will be prompted to provide a reason for the rejection.
  • If accepting, the user will select the appropriate case and click Submit.

Note: Please note that any referral requests older than 30 days will be automatically deleted, ensuring that your system remains clean and free of outdated data.
